Records include papers, maps, exhibits, magnetic or paper tapes, microfilm, 
photographic films and prints, digitized document images, and other 
documents produced, received, owned or used by a campus, regardless of 
physical form or characteristics.  Library and museum materials made or 
acquired and preserved solely for reference or exhibition purposes and stocks 
of publications and printed (blank) forms are not included within this 
definition of records.

Active or Current Records

Those used frequently to conduct current business.

Archival Records

Those of historical value retained permanently for reference and research 
purposes.

Essential (Vital) Records

Those which are necessary for the performance or reconstruction of basic 
campus programs during and following a major disaster.  This should be a 
component of all campuses' Emergency Preparedness Plans.

Inactive, Semi-active or Non-current Records

Those referred to occasionally and not generally needed for the conduct of 
current business.

Permanent Records

Those of archival, legal, or administrative value which will be preserved for a 
period of not less than 100 years.

Records Disposal

Records Disposal is the physical movement of records for destruction or 
recycling, or for transfer to State Archives, or to a storage facility, such as the 
State Records Center.
