Item 430 - Probationary Period Code/Ending Date

This a two-part field consisting of probationary code and ending date that identifies the employee's status at the campus.

  • Probationary Code - identifies the employee's individual probationary or tenure status.

  • Ending Date - identifies the last date of the employee's probationary period.

 

Coding:

Probationary Code:

A = On probation, no probationary or permanent status in another class or range

B = On probation, probationary status in another class or range

C = On probation, permanent status in another class or range

D = On probation, partial waiver of probationary period

E = On probation, end date extended 1) upon additional year notice to an academic employee, or 2) following leave without pay, Workers Comp, IDL or NDI

I = Permanent/Tenured

J = Permanent this class, probationary period waived in total/partially waived

N = None

P = None this class, probationary status in another class or range

Q = None this class, permanent status in another class or range

T = Serving terminal year

Ending Date:

Enter the appropriate date; leave blank if the Code is I, J, N, or Q. (Do not put an asterisk in the date when changing from A, D, E or P to I, J or Q.)

Example:

For a new hire, probationary appointment (Transaction A50), effective 01/01/1997, enter: A 12/31/97

For a promotion (Transaction A64) effective 03/14/1998, enter: C 03/13/99

For a reassignment, (Transaction A60) from AY to 12 months effective 06/01/97, enter: P XX/XX/XX (where the date is per AY calendar).

431-01 PROBATION CODE/DATE MUST BE ENTERED.

If transaction code is A52, A56 or A58, probationary code/end date must be present.

431-02 INVALID PROBATION CODE FOR CLASS.

If class is 2358 or 2359 and Items 415 and 416 are present, Probation Code must be ’N’ or 'P' or 'Q'.

Audit
Instructions:

  1. The effective date of the Transaction 430 to change an employee from probationary to permanent is the next calendar or business date after that shown in Item 430. The transaction should be processed on or after the effective date. The effective date for academic employees must be the first day of the academic pay period.  Refer to provision 13.6 and 13.19 of the collective bargaining agreement.

  2. Codes P and Q should be used when appointing an employee to an additional position or when an employee is temporarily reassigned, promoted or reclassified and the employee holds a concurrent appointment.

  3. When an employee is on probation in two classes concurrently, and subsequently attains permanent status (Probation Code I) in the first appointed class, process a Transaction 430 for the second appointed class to reflect the transition from code B to code C. When the employee attains permanent status in the second appointed class, process a 430 transaction to reflect the transition from code C to code I.

  4. Per the collective bargaining agreement, the time required for Unit 8 Public Safety employees to complete the P.O.S.T. Basic Academy training or equivalent shall not be credited service for completion of the probationary period.

  5. If Probation Code is A, process a Transaction 430 to extend the probation period to incorporate the training period; in Item 215 enter: 2 MOS POST TRNG.

  6. If Probation Code is N for training duration, enter: POST TRNG in Item 215. Upon completion of training, process a Transaction 430 to change Probation Code to A; in Item 215 enter: CMPLTD POST.
